Set up Crews Out with Jobber

From signing in to your crew's first request: connect Jobber, pick who approves, add the holidays, and send the invites.

Setting up takes about ten minutes at a desk. You need your Jobber login, and your phone with WhatsApp for sending the invites.

1. Connect Jobber

  1. On the Crews Out home page, tap Get started with Jobber.
  2. Sign in with Continue with Google, or type your email and tap Email me a code. See Sign in.
  3. Tap Connect Jobber, sign in to Jobber if it asks, and tap Allow. Only a Jobber admin or the account owner can connect. You're the owner of your company in Crews Out.

There's nothing to fill in. From your Jobber account, Crews Out:

  • brings in everyone on your Jobber team, with the phone number Jobber has for them,
  • names your company after your Jobber account,
  • sets your time zone from the account owner's Jobber time zone, and where you are from that and your Jobber account's country.

On a crew, not running one? Don't set one up. Open the invite your boss sent you instead. No Jobber? Tap Add your crew by hand instead. See Add someone by hand. More in Connect Jobber.

2. Three quick steps

Once your team is in, four screens follow, one thing on each. Each has Skip for now, and all of it changes later.

  1. Who approves time off? Jobber's owner and admins are ticked. Tick a foreman, untick anyone who shouldn't. Anyone Jobber has no mobile number for gets a box to type one. Tap Continue. With more than one approver, the next screen asks who each person's requests go to.
  2. How does vacation work? All at once on January 1, earned monthly, or no limit, the days a year, and whether to count balances in days or hours. Nothing is picked for you. See Time off types and balances.
  3. Company holidays. The statutory holidays where you are, ticked. Tap Add these holidays, or skip if your crew is on call. Not where it says? Tap the line under the button and pick your province or state. See Company holidays.
  4. Send each person their invite. Tap Invite next to each person. It opens your WhatsApp with their link filled in, and you press send.

3. Check the numbers

Open Crew. Everyone needs a mobile number: it's where their invite, and every message to them, opens. Someone showing "No phone number" needs one: add it in Jobber and tap Sync the team, or type it on Crew. A number typed in Crews Out stays until Jobber has one of its own.

Jobber's account owner and admins start with Can approve on. Switch it on for a foreman, or off for anyone who shouldn't approve. See Pick who approves.

4. Set the types and days

Open Settings, then Time off types. You start with Vacation, Sick, Personal and Unpaid, each with a line saying how it works. Tap How it works to change how a type is given, the days a year, or what carries over, or add your own type. Check start dates on Crew if a rule uses them. See Time off types and balances.

While you're in Settings, check Company: your time zone, your work days, and whether messages open in WhatsApp or Messages.

5. Anyone you skipped

Skipped the invites? On Crew, tap Send invite to and the person's name. Your own WhatsApp opens with their invite filled in. Press send. See Invite your crew.

Ask your crew to add Crews Out to their home screen once they've joined, so asking next time is one tap.

6. The first request

When someone asks, their own WhatsApp opens with the request and your approve link. Tap the link and Approve. It goes on their Jobber schedule and comes off their balance. See Approve or deny.

Requests shows what's waiting, who's off for the next two weeks, and what's coming up.
